What Is a Sales Funnel? How to Build a 3-Step Funnel for a Coaching or Consulting Business
A sales funnel is the path from stranger to paying client. For a one-person business it needs three steps, not seven. Here is the exact funnel behind this site, and how to build yours in a weekend.
A sales funnel is the path a person takes from hearing about you for the first time to paying you. That is all. The word gets dressed up in software and seven-stage diagrams, but for a one-person coaching or consulting business it is three steps, and you can build it in a weekend.
This is stage six of the seven-stage journey, Systemize: turning the way you got your first few clients into something repeatable. It assumes you have an offer and at least one client. If you do not, a funnel is premature. Get the first client by hand first, because the funnel is just that conversation, made repeatable.
Why three steps and not seven
The standard funnel diagram has awareness, interest, consideration, intent, evaluation, purchase, and loyalty. Marketing teams need that. You need to know three things: how a stranger becomes someone you can talk to, how that person becomes a conversation, and how the conversation becomes a client. Everything else is detail inside one of those three.
| Step | Job | What the person does | What you measure |
|---|---|---|---|
| 1. Attract | Stranger becomes a lead | Takes something useful, leaves a name and number | Opt-in rate |
| 2. Convert | Lead becomes a conversation | Reads a short sequence, applies or books a call | Booking rate |
| 3. Enrol | Conversation becomes a client | Has one call, says yes | Close rate |
The funnel behind this site, as a worked example
I run exactly this funnel for the 90-Day Digital Business Setup Challenge, so here it is with the real parts.
Step 1, Attract. An eight-question quiz, the Fit Score, that tells a person their business model and the stage blocking them. It is the first thing done on a paid call, given away. People leave a name, WhatsApp number and email to see their result, and they get a PDF, The Digital Business Blueprint, with it.
Step 2, Convert. Seven short messages over seven days, one per stage of the journey, each teaching one thing. Day three invites people to book a free thirty-minute call. The application asks about their skill, their goals, hours available and whether they are in a position to invest. People who say "just exploring" get a smaller offer instead of a calendar slot.
Step 3, Enrol. The call diagnoses the stage, draws the seven stages against their situation, and, if it fits, offers the program once, clearly, with the price. The person leaves with a one-page Launch Map whether or not they join.
Three steps. One offer at the end. Every piece of it exists to get one person onto one call.
Building yours in a weekend
Saturday morning: step 1, the entry
Decide what you give away. The rule from what is a lead magnet: it should be the first ten percent of your paid work. A scorecard, a checklist, a template. Put it on your one page behind a form that asks for name, WhatsApp and email.
Saturday afternoon: step 2, the sequence
Write five to seven short messages. Each teaches one thing related to what they downloaded. No pitch in the first two. On the third, one line inviting them to the next step. On the last, the invitation again, with a reason to act this week: limited slots, a date, a bonus. Write them in a document. You can send them by hand for the first fifty leads.
Add a short application before the calendar. Three questions: what they need, when, and whether they can invest. This one screen saves more of your time than any other part of the funnel.
Sunday: step 3, the call
Write the call as a script with times. For a thirty-minute call:
- 0 to 3 minutes: say what the call is and is not. "I'll ask about where you are, show you what I'd do, and if I think I can help I'll tell you how. Fair?"
- 3 to 12: ask. What have they tried, what did it cost them, what does a good ninety days look like.
- 12 to 20: show. Their situation against your framework. One concrete thing they can do regardless.
- 20 to 26: offer. Once, clearly, price included. Then silence.
- 26 to 30: decide. Answer questions honestly. If yes, send the payment link on the call. If not yet, agree a follow-up date.
The numbers to expect
Rough benchmarks for a one-person consulting or coaching funnel in India, once it has run for a month:
| Stage | Typical rate |
|---|---|
| Visitors who take the entry offer | 20 to 40% |
| Leads who apply for a call within a week | 5 to 12% |
| Applicants who are qualified and book | 50 to 70% |
| Booked calls that happen | 70 to 85% |
| Calls that become clients | 25 to 40% |
Work backward. Three clients a month at a 30% close rate means ten calls, which means about fifteen applications, which means around two hundred leads, which at a 35% opt-in rate means six hundred visitors. That is a modest amount of traffic, which is why getting the right visitors matters more than volume.
Tools, kept cheap
You do not need funnel software. A form, a sheet, a calendar link, a payment link and WhatsApp cover everything for the first hundred leads. Free tiers exist for all of them. The most expensive mistake in funnel building is buying the software before the funnel has closed a client by hand.
What to fix first when it is not working
Look at the three rates in order. If people are not opting in, the entry offer or the page is wrong. If they opt in but do not apply, the sequence is not building enough trust or the ask comes too early. If they apply and book but do not buy, the call script or the offer needs work. Fix the earliest broken step first. Fixing the call when nobody is booking one is wasted effort.
Frequently asked questions
What is the difference between a sales funnel and a website?
The website is where the funnel lives. A website without a funnel is a brochure: people read it and leave. A funnel gives them one next step at each point, and a way for you to follow up if they do not take it.
Do I need a funnel to start a coaching business?
No. You need a first client, who will come from a direct conversation. The funnel is what you build after three or four clients, when you know what the conversation sounds like and want it to happen without you starting every one by hand.
How long does it take for a funnel to work?
The mechanics take a weekend. The traffic to feed it takes one to three months. Judge the funnel after fifty leads have gone through it, not after five.
Which funnel step am I stuck on?
Take the Fit Score. It maps your situation to the seven stages, and funnel building is stage six. If you are earlier than that, it will say so.
